1. Introduction
This Privacy Policy explains how Peak Online ("we", "us", "our") handles information in the Ticket Releases mobile application (the "App").
The App is a staff tool. It is installed on handheld barcode-scanning devices (Zebra devices) and is used by event staff and gate stewards to check tickets in at event entrances. It is not intended for, or made available to, members of the public or ticket holders.
By signing in and using the App, you confirm that you are authorised by the event organiser to do so and that you agree to this Privacy Policy.
2. Our role
Ticket and attendee information in the App belongs to the event organiser who issued the tickets. The organiser decides what data is collected and why (the "data controller"). We provide the App and the supporting service, and we process that data on the organiser's instructions (the "data processor").
If you are a ticket holder and you want to know how your personal information is used, or you wish to exercise your data rights, please contact the event organiser you bought your ticket from. We will support the organiser in responding to your request.
3. Information the App handles
3.1 Staff account information
When a staff member signs in, the App collects and stores:
The organiser / website access code entered at sign-in
Username and password
The authentication token issued by the server after a successful sign-in
The staff member's display name
The event and the entrance/gate assigned to that staff member
If "Remember me" is selected at sign-in, the entered access code, username and password are saved on the device so they do not have to be re-typed at the start of each shift. This information stays on that device. If "Remember me" is not selected, they are not saved.
3.2 Ticket and attendee information
Before an event, the App downloads that event's ticket list from the organiser's system so that check-in works without an internet connection at the gate. This information is provided by the organiser and may include:
Ticket number, ticket type, ticket group and any seat information
Order reference
Attendee name
Attendee email address and phone number, where the organiser holds them
Check-in status, and the date, time and gate of any check-in
3.3 Check-in (scan) records
When a ticket is scanned or checked in manually, the App records the ticket, the result (valid, already used, or not valid), the date and time, the entrance/gate, and the staff member who performed the check-in. These records are sent to the organiser's system.
3.4 Technical information
The App stores a small amount of operational information on the device, such as the date and time of the last data sync, the organiser's server address resolved at sign-in, sync tokens used to request updates, and whether the in-app introduction has been shown. The App also checks whether the device currently has a network connection so it can switch between online and offline check-in.
4. Information the App does not collect
The App does not:
Use the device camera, microphone, GPS or location services
Access contacts, photos, files or messages on the device
Contain advertising, advertising identifiers, or third-party analytics or tracking tools
Build profiles of ticket holders or make automated decisions about them
Sell, rent or share personal information with data brokers or for marketing purposes
5. How information is used
Information in the App is used only to:
Sign staff in and keep them signed in for the duration of their shift
Show the correct event, entrance/gate and ticket list on the device
Verify tickets at the entrance and prevent the same ticket being used twice
Record check-ins and send them to the organiser's system
Keep check-in working when the internet connection is poor or unavailable, and upload any check-ins held on the device once a connection returns

6. Offline working and where information is stored
The App is designed to work offline at the gate. To do this, it stores the event's ticket list and any check-in records in a private database on the device itself, in storage that belongs to the App and is not accessible to other apps on the device.
Check-in records made while offline are held on the device and uploaded automatically when a connection is available. Everything sent between the App and the organiser's server is transmitted over an encrypted HTTPS connection.
The App communicates only with the organiser's own server. It does not send data to any other service.
7. Device permissions
The App requests the following Android permissions, and only for the purposes listed:
Internet / network access — to sign in, download the ticket list, and upload check-in records
Foreground service and data sync — to finish uploading check-in records reliably in the background, including while the screen is off
Run at start-up — to resume any uploads that were still pending if the device is restarted during an event
Notifications — to show sync and upload status
8. Sharing and disclosure
Information handled by the App is shared only with:
The event organiser, whose system the tickets and check-in records belong to
Service providers who host or support the service on our behalf, and who are bound to protect the information and use it only for that purpose
Authorities or third parties where required by law, for example in response to a valid legal request, or where necessary to establish, exercise or defend legal claims
We do not sell personal information.
9. Retention and deletion
Ticket data and check-in records downloaded to a device remain on that device so that an event can continue if the device goes offline or is restarted mid-shift. Signing out of the App clears the signed-in session but deliberately keeps downloaded tickets and any not-yet-uploaded check-ins on the device, so that no check-in is lost.
Data is removed from a device when the App is uninstalled, when the device's app data is cleared, or when a new event's data replaces it.
Ticket and check-in data held on the organiser's system is retained according to the organiser's own retention policy. We retain data on their behalf for as long as they instruct, and for no longer than 5 years after the end of the relevant event unless a longer period is required by law.
10. Security
We take reasonable technical and organisational measures to protect information handled by the App, including encrypted (HTTPS) connections to the server, authentication tokens for API access, and app-private storage on the device.
Because the App is used on shared handheld devices at events, organisers and staff are responsible for:
Keeping devices physically secure and protected by a device passcode
Not sharing sign-in details
Signing out on any device that is being handed to someone else or taken out of service
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your rights
Depending on where you live, you may have the right to request access to your personal information, to have it corrected or deleted, to object to or restrict how it is used, and to receive a copy of it in a portable format. You may also have the right to complain to your local data protection authority.
Ticket holders / attendees: please contact the event organiser you bought your ticket from, as they control that information.
Staff users: contact us using the details in section 14, or your employer or the event organiser who issued your account.
12. Children
The App is a workplace tool for authorised event staff and is not directed at children. We do not knowingly collect personal information directly from children through the App. Ticket information relating to a child attendee is provided by the organiser and is handled under the organiser's privacy policy.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Where the change is significant, we will provide a more prominent notice. Please review this page periodically.
